How to permanently close your TrailMates account and what happens to your data

1 About This Page

TrailMates is a mobile application operated by Dragon Sphere LLC ("we," "us," or "our"). This page explains how to request deletion of your TrailMates account, what is removed, and what we are required to retain. It works alongside our Privacy Policy — please read Section 9 of the Privacy Policy for the full detail on our post-deletion data archive.


2 Delete Your Account In the App

The fastest way to delete your account is directly in the TrailMates app while signed in:

  1. Open the TrailMates app and make sure you are signed in.
  2. Tap the Profile tab in the bottom navigation.
  3. Scroll to the bottom of your profile and tap Delete Account.
  4. You may be asked to give an optional reason for leaving — this is not required.
  5. Confirm when prompted. Your account is closed immediately and you are signed out.

⚠️Account deletion is permanent and cannot be undone. Once you confirm, you will lose access to your profile, your mate connections, and your events. You cannot recover the account, though you are free to sign up again in the future with a new account.


3 No Longer Have the App? Request Deletion by Email

If you have deleted the app, can't sign in, or would simply prefer not to use the in-app option, you can ask us to delete your account for you.


4 What Is Removed When You Delete

As soon as your deletion is processed:

  • Your profile — your name, bio, profile photo, and experience level — is hidden from all other users and no longer appears anywhere in the app.
  • Your login is permanently disabled and your email address is released from the active account, so the account can no longer be signed into.
  • Your mate (friend) connections are permanently deleted.
  • Your pending and waitlisted event join requests are permanently deleted.
  • Your pending group join requests are permanently deleted.

Other people will no longer be able to find your profile, message you, or see you in events or groups.


5 What Is Retained, and Why

⚠️Deleting your account does not immediately erase all of your data. Because TrailMates connects strangers for in-person hikes, we keep a secure, access-restricted archive after deletion for safety and legal reasons. This data is never visible to other users.

After your account is deleted, Dragon Sphere LLC retains the following in a restricted archive for up to seven (7) years from the date of deletion:

  • Your email address and account identifiers
  • The IP address recorded at signup and the IP address recorded at the time of deletion
  • Your device platform and app version
  • A snapshot of your profile as it existed at deletion (name, bio, experience level, and profile photo reference)
  • Your agreement history — which version of our Terms & Conditions, Community Guidelines, and Safety Guidelines you accepted, and when
  • Content tied to your account — events you created, messages, event photos, trail condition reports, and ratings — which remains in our database but is hidden from other users
  • Any reports filed by or against your account, and any prior suspensions or bans
  • The reason you gave for deleting (if you provided one) and the date and time of the deletion

We retain this information solely to:

  • Protect user safety and cooperate with law enforcement. Incidents involving assault, harassment, or other harmful conduct may be reported weeks or months after an account is deleted.
  • Prevent ban evasion. To stop users who were banned or suspended from returning under a new account, your prior email is kept on record.
  • Comply with the law and respond to court orders, subpoenas, and valid legal requests.
  • Resolve disputes and defend Dragon Sphere LLC against legal claims.

Retained data is never used for marketing, advertising, or profiling. After the seven (7) year period expires — or earlier if no legitimate purpose remains — the archived data is permanently deleted, unless we are legally required to keep it longer or it is subject to an active legal hold. This deletion is enforced automatically: a scheduled process regularly finds archived records whose seven (7) year window has elapsed and permanently erases the account and all associated content, including any stored photos. Records under an active legal hold are automatically excluded until the hold is lifted.

🌴 California Residents (CCPA): You have the right to request deletion of your personal information. The CCPA permits us to retain information despite a deletion request where it is needed to detect security incidents and protect against malicious or illegal activity (Cal. Civ. Code § 1798.105(d)(2)) and to comply with a legal obligation (Cal. Civ. Code § 1798.105(d)(8)). Our post-deletion retention falls within these exceptions.
